1. Information We Collect
We collect information you provide directly to us, including your name, email address, phone number, dealership name, and any other information you choose to provide when filling out our contact form or communicating with our team.
When you use the service, we also process dealership and team settings, vehicle and inventory-feed records, listing status, vehicle photos or photo URLs, posting schedules, job history, activity logs, Agent device status, billing records, and support communications. DMS and hosted-feed integration credentials stored in DealerFlow are encrypted at rest.
2. DealerFlow Agent Data
The DealerFlow Agent keeps your Facebook password, cookies, and browser session on the Windows computer where the Agent is installed. The Agent sends DealerFlow the job data needed to operate your listings and job status, and may send a private screenshot when an operation succeeds or fails. It does not send local file paths, page HTML, or visible page text as separate metadata, and its capture guard is designed to exclude Facebook login and checkpoint screens.
Diagnostic screenshots are used for support and job verification, are available only to authorized dealership users and DealerFlow support personnel who need access, and are stored in a private cloud storage bucket. The Agent may retain a failed or not-yet-uploaded local capture for up to seven days for local diagnostics and fallback evidence. Cloud screenshot records and objects are scheduled for deletion after 30 days. If a storage deletion fails, DealerFlow records the failure and retries it; deletion can therefore complete after the scheduled date rather than being guaranteed at an exact time.
3. How We Use Your Information
We use the information we collect to respond to your inquiries, provide and maintain our services, send you technical notices and support messages, and communicate with you about products, services, and events offered by DealerFlow.
4. Service Providers and Information Sharing
We do not sell your personal information. We use service providers to operate DealerFlow, including cloud hosting and storage, email delivery, payment processing, error monitoring, and product infrastructure. These providers process information only to provide their services to us and are subject to their own security and privacy obligations.
5. Data Security
We implement appropriate security measures to protect your personal information. Sensitive integration credentials stored by DealerFlow are encrypted at rest. Facebook login credentials and browser sessions are not stored in the DealerFlow cloud. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
7. Retention, Deletion, and Contact
We retain account and operational information for as long as needed to provide the service, meet legal obligations, and resolve disputes. You may ask us to delete eligible account data or ask questions about this Privacy Policy by contacting support@dealerflow.app.
